Elevating Management Efficiency with Kintone

Food Innopolis is a government agency under the supervision of the National Science and Technology Development Agency (NSTDA), part of the Ministry of Higher Education, Science, Research and Innovation. Established in 2016, its core mission is to promote and support entrepreneurs in the food industry to develop high-value products and enhance their competitiveness through science, technology, and innovation.
The Business Development Team at Food Innopolis provides services to entrepreneurs through a One Stop Service (OSS) model. They have also developed platforms to support research and innovation, working in collaboration with a nationwide network of Food Innopolis partners. Their services include providing information and consulting, connecting entrepreneurs with experts in food and food technology, offering data on equipment, facilities, and pilot plants, sharing information on testing and analysis services, and supporting food registration processes.
Entrepreneurs can access and apply technology and innovation to develop their products, enhancing their competitiveness in both regional and global markets, while also elevating Thailand’s food industry to international standards.


Key challenges

Ms.Sutheera Arjcharoen, Senior Advisor and Business Development Manager at Food Innopolis, graciously gave an interview and shared insights into the role of the Business Development Team.
“ Food Innopolis serves as an innovation platform providing services to entrepreneurs of all sizes. With a large number of service requests and a wide variety of support needs, including many entrepreneurs seeking to use multiple platforms, the team must handle and store a significant amount of information.
Previously, the Business Development team had tried using various tools and programs to manage data, especially off-the-shelf software. As a small team of fewer than 10 people, we couldn’t afford custom-developed systems tailored specifically to our organization due to high costs. As a result, the tools and programs we used didn’t fully meet our workflow needs. Data management remained fragmented, with each team member storing information separately. This led to outdated or inconsistent data, making it difficult to track progress, respond flexibly, and created a heavy workload when compiling information for work tracking, planning, or reporting.
Additionally, the organization conducts a variety of activities such as training sessions, workshops, and knowledge-sharing events for entrepreneurs, beyond the services provided by the OSS. This requires the team to have a flexible system that can integrate all data seamlessly and be easy to use. Therefore, we sought a system capable of efficiently managing all information, allowing easy customization without the need for coding, and supporting constantly changing workflows.
Kintone is the ideal solution for connecting dispersed data across multiple platforms. It offers flexibility to adapt according to needs, and team members can easily design and customize it without relying on IT support. This allows us to save significant time managing data and reduces paperwork, enabling staff to focus more on delivering quality services. ”

Implementation of Kintone
Food Innopolis implemented Kintone to centralize customer data management. Previously, each staff member stored information separately on their own computers without any centralized system, which made task tracking time-consuming. Additionally, since team members handle various responsibilities and do not work in the office every day, using Kintone has enabled them to work continuously on the platform. They can record information directly in the app or log key points of each task through multiple channels. This ensures the data in the system is regularly updated and can be quickly shared with relevant team members. As a result, task tracking and service delivery processes have become much more efficient.
In addition, Food Innopolis also uses Kintone to manage various tasks more efficiently, such as:
✅ Manage data of entrepreneurs, partners, and network agencies
✅ Track customer usage across each platform
✅ Record and monitor the progress of all activities such as trainings, workshops, and knowledge sharing
✅ Manage data to monitor performance, plan projects, manage budgets, and prepare operational reports
Results from Using Kintone
📌 Data accuracy increased from 60-70% to 90%
📌 Time spent updating data reduced by over 50% compared to before using Kintone
📌 Reporting workload and duration decreased from several days to just a few hours
📌 Improved service efficiency, enabling staff to assist customers more quickly
